Why Planning Matters

Welcome back to the podcast! Today we’re talking about planning tips for principals.

I love this topic because it helps you be more efficient—so you can leave work at the time you really want to. Planning has been a huge part of my success and why I’ve been able to consistently keep an 8-to-4 schedule as a principal.

Now, not everyone loves planning. My husband hates calendars and schedules. But for me, it’s what allows me to feel organized and stay efficient.

If you’re not naturally good at planning, don’t worry. This episode will give you tools that can completely change your relationship with time and your efficiency as a leader.


Digital vs. Paper Calendars

I’ve always struggled to choose between paper-pencil calendars and digital calendars.

  • I love digital calendars for reminders, easy scheduling, and sharing events with staff.

  • But I also love writing things down—there’s something about the physical act of writing that helps me process and remember.

Over time, I’ve built a hybrid system:

  • I use Google Calendar for scheduling and notifications.

  • I use my paper planner to reflect, prioritize, and prepare for the week.

You can go fully digital or fully paper-based—what matters is finding what works best for you.


Why Principals Need to Plan

Here’s why planning is essential for school leaders:

  1. Better Leadership Impact.
    Planning leads to better meetings, clearer agendas, and more productive professional development.

  2. Mental Clarity.
    Getting things out of your head and onto paper lowers stress and prevents the endless “replay” of tasks before bed.

  3. Delegation.
    When you plan ahead, you can delegate effectively. Without planning, everything becomes last-minute—and delegation falls apart.

  4. Multi-Level Planning.
    You need to think at three levels:

    • Year at a glance → key events mapped out by month.

    • Month at a glance → what’s ahead more immediately.

    • Week at a glance → specific priorities and tasks.


My Weekly Planning Session

Here’s how I plan each week:

  1. Review big goals.
    I start with my yearly/monthly calendar to check for upcoming events.

  2. Check my digital calendar.
    I look for meetings, deadlines, IEPs, teacher observations, and reoccurring reminders (like monthly new teacher check-ins).

  3. Block work hours.
    I plan my arrival and departure times based on family needs and after-school events.

  4. Set three priorities per day.
    Examples: complete an observation write-up, finish a committee agenda, analyze data with a coach.

  5. Reflect on daily wins.
    Each evening, I write down three wins and set three for the next day. This keeps me focused on positive progress.

  6. Track habits and routines.
    I monitor things like:

    • Getting into classrooms daily.

    • Morning announcements.

    • Anchoring my day with bus duty.


The Mindset Behind Planning

Here’s the truth: planning isn’t just about tools—it’s about mindset.

  • If you tell yourself “I never have enough time,” you’ll always feel behind.

  • If instead you think, “I can plan this out. I can make time for what matters,” you’ll follow through.

Another common mindset trap is believing principals should be the first to arrive and last to leave. But remember:

➡️ Your effectiveness isn’t measured by hours worked.
Boundaries benefit everyone—your staff, your family, and you.
